Non-Overlapping

I have been a Project Manager in the Pharmaceutical space for over three years but all my work is overlapping as I manage anywhere from 3-12 projects at a time.

Does anyone have a recommendation as to how to capture this for recording my 4,500 hours?

I don’t know if I should start now with the most recent completed project and track in reverse chronological order and list all the projects I have worked on that way. Regardless of how many months the project took, focus more on the hours each project.

Example: If I worked on a project for 140 cumulative hours over 5 months i would only record that this took one month since all together the project was 140 hours.

Any suggestions? I don’t want my application to be rejected!

Thanks!

Hi Fellow Aspirants,

I also have the same doubt. I've worked on multiple projects at the same time during my tenure with different companies. At any point of time, I've worked on 2-3 projects. However, as per PMI guidelines, I can not show this oevrlapping, so please suggest how should I show my experience.

Can I show that I've worked on Project "A" for 3 months, then on Project "B" during the nexet 6 months, etc. I can modify this as per suggestions, but want to be sneure that my application does not rejected or gets selected for the Audit. What is the prescribed way to show the experience, to avoid the Audit?

Please suggest.

Its plain simple calculation if you have 8 hours working day then you cannot claim 10 hours in PMP application clamining you have worked on overlapping projects.

Just calculate the number of hours spent on each project and ensure that your manager will sign for you in case your application is audited.

Hi Admin,

Thanks for the reply!

Just 1 more ques: What is the ideal number of projects (rough range) one should show when s/he is showing experience of 3.5-4 years.

I feel that PMI would shortlist applications which they find are unique in certain way(s); be it the number of projects or the duration of projects. I'm planning to show 6-8 projects spanning across 3.5 years. Please suggest/recommend to avoid my application being selected for audit.

Thanks

If you have done numerous small projects, consider the following.  As per PMI, you should be dividing your effort into each process group for a project. So, if you selected any project which is already completed, then you should account your effort for planning, executing, monitoring and controlling and closing.  If you are selecting any ongoing project, obviously it will not have reached the closing stage.  Hence, there won't be any hours counted against closing.

You have to first come up with a work sheet identifying each of your project and then validate it 2,3 times.

For each project identify how much % of hours you are accounting for each process group. Usually executing goes for long and as a PM you will be involved in directing the people, so the % time spent in executing will be more than any other area.  Once you did this for one project, do the same for all other projects, then see what % is coming up for each process area on the whole for the total no. of hours you are showing.

When you are accounting time for each process area, identify the key activities should be done in that area and see whether you have done work for each of those points and then put the hours. So in your worksheet, create a separate sheet for key activities in each process area and give numbers to them.  In your main sheet, when you put the hours identify those with the activity numbers. So, later on, if any question comes up, you can easily trace the time accounted.

Hope this helps!
